Membership System Changes
As of July 1 the new membership system (Mi-Membership) is operating. All accounts moved across as normal for members with balances as per June 30.
Information regarding a trial to remove cash floats from the lounge and golfshop is under the general news tab.
Auto Top up now available
You now have the ability to set up an Auto Top Up Direct Debit to your House account.
All you will need to do is set up a direct debit agreement by clicking the link below and your house account will automatically be topped from your nominated bank account or credit card.
Auto Top Ups
How do auto top ups work?
Auto Top Ups works by linking your account to a payment method, such as a credit card or a bank account, which automatically adds funds when the balance of the account drops below a set amount. You set a trigger amount and a top-up amount. The system will automatically charge your nominated payment method to keep your account balance with sufficient funds that can be used for cashless transactions at the club .
Approving Auto Top Ups
A secure electronic direct debit (eDDR) form will be emailed to you. The eDDR will display an Auto Payments section. Simply tick the check box to authorise Auto Top Ups and nominate an amount. Complete the payment method section by entering the bank account or credit card details that you would like to use to process the auto payment. When submitted, MiMembership will store your approval and nominated top up amount. You can change the top up amount at any time by contacting the club and requesting a new eDDR to complete.
When do top ups appear in my account?
Payments are processed by Worldpay Australia. Bank Transfers take 2 business days. Credit/Debit Card Payments: Often process in real time, but may take 1 business day to reflect in the account. It is important to note that if your balance falls below the threshold on a weekend or public holiday the process will begin on the next business day and can take up to 2 days from then.
House top up
- House account top ups via credit card will incur a 55c Payrix fee and 1.65% credit card fee and are immediate if using the App or website.
- Members can set automated house top ups via the direct debit form emailed on August 28. As per agreement credit card can take 24 hours to come through and direct debit top up can take up to 48 hours. (fees apply)
- House top ups at the Lounge and Golf shop tills will not incur any eftpos fees as of August 2025.
- Members can top up house accounts and pay subscriptions via direct deposit with no fees direct to the Medway Bank account below, however the payment is not immediate and will be processed the next admin bank reconciliation date which could be up to 3 days later.

Subscription Payments
- Subscription payments from your pre-arranged payment arrangements (April 2025) will not incur any credit card fees up to March 2026 (as all members paid the $80 admin fee when set up in your 1st payment)
- Members paying subscriptions via credit card online/ via the App or website (such as new members) not on a payment plan will incur credit card fees per transaction.
- Subscription fees via the office will incur eftpos fees
- New members joining through the member year who choose a payment arrangement will incur the $80 admin fee
The Finance committee/ Board will review all fees etc in coming months to be more consistent moving forward.
All 3rd party house top ups or subs payments will show as IPY- Medway golf club or Payrix (Worldpay for Platforms) on your bank statements

Insurance
As of April 1 2024 all clubs and equipment that members store onsite are at owners risk. Our insurance is of a level that if a major fire or theft occurs there is too much risk on the club. We encourage members to insure their equipment under their home and contents.
Member Equipment Insurance
All members of Medway are covered for lost/ stolen or damaged personal golf equipment to the value up to $5,000 taken out by the club and paid by the club on behalf of members.
This cover relates to member Golf Clubs and Golf Buggies but not private Golf carts or ride-ons.
The excess on member insurance claims is $1000 and related the theft and loss that has occurred on the Medway golf Club property only. (excludes whilst inside club storage facilities.)
Members should take a current photo of their golf equipment to assist with successful and speedy claims and receipts if possible.
For claims of this type please contact the club manager for forms and assistance, and we strongly encourage the quote and business to go through the Medway Golf Shop.
The Club encourages members to take out their own equipment insurance with their home and contents provider if they wish to insure for damage/ theft especially for lower replacement items like drivers, putters or electric buggies.
We also encourage members with clubs and buggies in the old golfshop (buggy club storage) to also consider taking out personal insurance for their golf equipment in case of a major theft or fire. There is a total limit on claims of $50,000 under this insurance which may not cover all equipment in storage.
The Club expects all members who store private carts onsite or use private carts to take out their own insurance for ride on and golf cart equipment. A copy of insurance must be provided to the office each membership year.
Member Liability (Golf Australia) Coverage
This insurance is via Golf Australia and cover members for liability caused normally like a errant shot etc.
As of July 1 we have been informed all claims incurring property damage will incur a $1000 excess even if accidental.
The Golf industry is working through the matter.
Please inform the club manager if you are involved in an accident on course, have received damage to property or even a near miss as we log incidents to enable future planning and risk mitigation.
